How It Works

A Simple, Physical Approach to Key Control

Cobra Key Systems helps organizations organize, secure, and manage physical keys without relying on complicated software or electronic systems.

Using organized key storage, identification components, Access Keys, and optional tamper-resistant key rings, Cobra creates a repeatable workflow that helps teams know where keys belong, who has them, and when they have been returned.

Prepare the System

Step 1: Build Your Key Sets

Attach each key set to a labeled key ring, then assign it a numbered position on a Cobra wall board or inside a key cabinet.

Color-coded tags and identification components can be used to organize keys by department, vehicle type, property, equipment, facility, or another internal system.

Each key now has a clearly identified place within the system.

Check Keys Out

Step 2: Exchange an Access Key for the Key Set

When an employee needs a key, they use their assigned Access Key to release the key set from its designated position.

The employee’s Access Key remains on the board in place of the checked-out key. This provides a visible indication that the key is currently in use and identifies the person who removed it.

Return and Reset

Step 3: Return the Key to Its Assigned Position

When the employee is finished, the key set is returned to its numbered position on the wall board or inside the cabinet.

Returning the key releases the employee’s Access Key, restoring the system to its original arrangement. The key is now available for the next authorized user, and the board once again provides a clear view of which keys are in place and which are still checked out.

Instantly See Which Keys Are Checked Out

Because every key has a designated position, employees can quickly see which keys are available and which are currently in use.

The Access Key left behind shows who checked out the key, giving teams a clear visual reference without searching desks, asking around, or logging into another system.
